Handover & Delivery Policy
Version 1.1 · Effective 4 October 2026
Hire N Ride does not ship physical goods. This policy explains how a rented vehicle is handed over to the Rider (at pickup or by doorstep delivery) and returned to the Host. It forms part of the Terms of Use, Host Terms and Rider Terms. Charges mentioned here are set out in the Fee, Deposit, Cancellation and Refund Policy.
1. Handover options
| Option | How it works | Charges |
|---|---|---|
| Pickup (default) | The Rider collects the vehicle from the Host's pickup point shown on the booking, at the booked start time | None |
| Doorstep delivery (where the Host offers it) | The Host or the Host's representative brings the vehicle to the address the Rider selected, within the delivery window shown at booking. Collection at the end of the trip can be booked the same way | ₹40 per km for two-wheelers and ₹50 per km for four-wheelers, for the distance shown at checkout |
The exact pickup point (or delivery address) and time are confirmed in the app after booking. The Host's precise address is shared only after the booking is confirmed.
2. Before handover
The vehicle may be handed over only when both of these are true:
- The booking is confirmed and paid, including the security deposit, on the Platform. Never pay cash or pay the Host directly.
- Both the Host and the Rider have accepted the Booking Agreement in the app by ticking an unticked checkbox and tapping "I Agree", and, if the app asks, by confirming with a one-time password sent to their registered mobile. The app keeps the Start trip button locked until this is done.
3. Identity and licence check at handover
- The Rider must be present in person, and must show their original driving licence, matching the licence verified in the app. Delivery cannot be made to anyone else.
- The Host checks that the Rider's face and name match the app profile, and that the licence covers the vehicle class (MCWG / MCWOG for two-wheelers; LMV for cars). The Host then ticks "Original DL checked" in the app.
- If the check fails, the Host must not hand over the vehicle. The booking is cancelled under the Fee Policy, as a Rider no-show/ineligibility.
4. Handover checklist (in the app)
The Host and the Rider complete the checklist together, in the app, before the trip starts:
| Item | What is recorded |
|---|---|
| Photos/video | At least 8 timestamped photos (front, rear, both sides, all four corners, interior/seat, dashboard), plus close-ups of any existing damage. The app adds the time and location. Photos from the gallery are not accepted |
| Odometer (km) reading | A photo of the odometer + the reading entered |
| Fuel / charge level | A photo of the fuel gauge (or EV charge %) + the level entered (e.g. 4/8) |
| Existing damage | Marked on the vehicle diagram, with photos |
| Documents | RC, insurance and PUC (originals or legally acceptable digital copies, e.g. DigiLocker/mParivahan) available with the vehicle |
| Accessories | Keys (number), helmet(s) for two-wheelers (one ISI-marked helmet included; a second one if a pillion helmet was booked), spare wheel/jack/toolkit for cars, phone holder/other add-ons |
| Safety check | Brakes, lights, horn, tyres and (for two-wheelers) chain checked by the Host |
| Confirmation | Both parties tick and tap I Agree to confirm that the checklist is accurate |
The completed checklist is saved as a time-stamped, hashed Handover Record and emailed to both parties. It is the main evidence in any damage, fuel or km dispute, so please do it carefully. If you see damage that is not recorded, add it before you start the trip.
5. During the trip
- Keep within the Permitted Territory, the km limit and the other rules in the Rider Terms.
- Extra kilometres, fuel shortfall and late return are charged as set out in the Fee Policy.
- For breakdowns, accidents or theft, follow the Rider Terms, Section 9 (report in the app within 2 hours where it is safe to do so).
6. Return
- Return the vehicle at the agreed time and place (or be present for doorstep collection), with the agreed fuel level and with all keys, documents, helmets and accessories.
- The Host and the Rider complete the return checklist in the app: the same photos, the odometer and fuel readings, and any new damage.
- Both confirm the checklist, and a Return Record is saved and emailed.
- If the Host is not available at the agreed time, the Rider should complete the return checklist alone (photos are timestamped) and inform support in the app. The Rider is not charged late fees for the Host's delay.
- Late return: late fees are charged as set out in the Fee Policy. If the vehicle is not returned within 6 hours of the end time and the Rider cannot be reached, the Rider Terms, Section 10 applies.
- Early return: allowed. Any refund of unused rental follows the Fee Policy.
7. After return
- Any damage, fuel, km or late-return claim must be raised by the Host within 24 hours of return, with evidence from the checklists.
- If there is no claim, the deposit refund is initiated within 24 hours. Money usually reaches you in 3–4 business days (two-wheelers) or 5–7 business days (four-wheelers).
- Challans that arrive later are handled under the Rider Terms, Section 7 (within 90 days).
8. Delays and no-shows
| Situation | What happens |
|---|---|
| Host late for handover or delivery | This is between the Rider and the Host. The Rider may cancel |
| Rider late for pickup or delivery | This is between the Rider and the Host |
| Vehicle not as described or unsafe | Do not start the trip. Report it in the app for a full refund (Fee Policy, Section 6) |
| Delivery address unreachable or unsafe | The Host may propose a nearby safe point in the app. If no agreement is reached, the booking is cancelled without penalty to either party |
9. Questions and complaints
Use Help > Raise a complaint in the app, or the grievance contact published at https://www.hirenride.com/legal. We acknowledge complaints within 24 hours, and aim to resolve them within 15 days.
