1. Information We Collect

As a motorbike rental platform connecting hosts with customers, we collect the following types of information to facilitate seamless bike rental bookings and ensure a secure experience:

  • Personal Information: Full name, email address, phone number, date of birth, government-issued identification (driver's license, Aadhaar, etc.), and profile photographs for verification purposes.
  • Booking & Rental Data: Rental dates, pickup and drop-off locations, preferred bike models, booking history, rental duration, and special requests or preferences.
  • Payment Information: Payment method details (credit/debit cards, UPI, net banking), billing address, transaction history, and payment gateway tokens. We do not store complete card numbers or CVV codes.
  • Host Information: For bike owners/hosts: vehicle registration details, insurance information, bike specifications, availability calendar, and earnings data.
  • Location Data: GPS location data when using our mobile app for finding nearby bikes, tracking rental pickups, and ensuring safe returns.
  • Usage Data: IP address, browser type, device information, pages visited, time spent on pages, search queries, and interaction patterns to improve our platform.
  • Communication Data: Messages exchanged between hosts and customers through our platform, customer support interactions, and feedback provided.
  • Cookies & Tracking: Session cookies, authentication tokens, and analytics cookies to enhance user experience, maintain login sessions, and analyze platform usage.

2. How We Use Your Information

We use your information exclusively to operate our motorbike rental platform and provide you with the best possible experience:

  • To create and manage your account as a customer or host on our bike rental platform
  • To process and confirm motorbike rental bookings between hosts and customers
  • To facilitate secure payment processing for rentals, deposits, and refunds

  • Payment Data Collection: We collect payment method information (card type, last 4 digits, billing address) necessary to process transactions and prevent fraud. Full payment details are handled securely by our payment partners.
  • Transaction Security: All payment transactions are encrypted using industry-standard SSL/TLS protocols. We use tokenization to securely store payment references without exposing sensitive card details.
  • Payment History: We maintain records of your rental payments, refunds, deposits, and transaction history for accounting, dispute resolution, and tax compliance purposes.
  • Host Payouts: For bike owners/hosts, we collect bank account details or payment preferences to process rental earnings and commission payouts securely.
  • Refund Processing: When refunds are processed (as per our cancellation policy), they are initiated through the original payment method. Refund data is securely handled and may take 5-7 business days to reflect in your account.
  • Third-Party Payment Processors: We share necessary payment information with authorized payment gateways only to complete transactions. These processors are bound by strict data protection agreements.
  • Payment Disputes: In case of payment disputes or chargebacks, we may share relevant transaction and booking information with payment processors and financial institutions to resolve the matter.

8. Data Retention & Deletion

  • Active Accounts: We retain your information while your account is active and for a reasonable period after account closure to handle potential disputes or inquiries.
  • Booking Records: Rental booking data, transaction history, and payment records are retained for a minimum of 7 years as required by tax and accounting regulations.
  • Legal Requirements: We may retain certain information longer if required by law, court orders, or to resolve disputes, enforce agreements, or protect our legal rights.
  • Host Data: For bike owners/hosts, we retain vehicle and earnings information as long as necessary for tax reporting and platform operations.
  • Deletion Requests: Upon account deletion request, we will delete or anonymize your personal information within 30 days, except where retention is required by law.
  • Backup Data: Deleted information may persist in backup systems for a limited period but will not be actively processed or used.

9. Children's Privacy

Our motorbike rental platform is designed for users who are 18 years of age or older and hold a valid driver's license:

  • Age Requirement: You must be at least 18 years old to create an account, book a bike rental, or list a motorcycle as a host on our platform.

Vehicle Pricing Policy: Hire N Ride calculates rental price automatically based on multiple factors to ensure fair and dynamic pricing.

1. CC Factor

Pricing changes depending on engine capacity:

  • 90–125 CC → 1.00x
  • 125–150 CC → 1.20x
  • 150–250 CC → 1.40x
  • 250–350 CC → 1.60x
  • 350–2200 CC → 2.00x

2. Vehicle Age Factor

Based on months since manufacturing:

  • 1–6 months → 1.00x
  • 6–12 months → 0.95x
  • 12–24 months → 0.90x
  • 24–36 months → 0.85x
  • 36–48 months → 0.80x
  • 48–60 months → 0.75x
  • 60–72 months → 0.70x
  • 72–84 months → 0.65x
  • 84–96 months → 0.60x
  • 96–120 months → 0.55x

3. Multipliers

  • Base Price: n10/hour
  • Weekend Multiplier: 2.00x
  • Seasonal Multiplier: 2.00x
  • Demand Multiplier: 2.00x
  • Round to Nearest: n2

4. Final Price Formula

Final Hourly Price = Base Price × CC Factor × Age Factor × Demand Multiplier × Weekend Multiplier × Seasonal Multiplier

Final price is rounded to the nearest n2.

Customer Cancellations: Refund depends on time left before ride start.

5. Refund Tiers

  • ≥ 10 Days (≥ 240 hours) → 100% Refund
  • 5–10 Days (120–240 hours) → 50% Refund
  • ≥ 6 Hours → 30% Refund
  • < 6 Hours → 0% Refund

6. Refund Notes

  • Refund applies only to rental fee, not penalties.
  • Razorpay processes refunds directly to the original payment method.
  • Refunds take 3–7 business days as per bank timelines.

7. Host Vehicle Approval Process

  • RC is checked for existing registrations.
  • If found registered with another host, conflict must be reported.
  • Pollution, Fitness, and Insurance must be valid.
  • Host uploads front, back, left, right images.
  • Admin approves or rejects vehicle.

8. Listing Creation

After approval, host selects start and end dates for availability. Pricing is fully automated using factors above.

9. How Refunds are Issued

Step 1: Customer cancels from app.
Step 2: System calculates refund percentage.
Step 3: Razorpay refund API triggers.
Step 4: Refund status tracked in system (Success/Failed).

10. Example Price Calculation

For a 150 CC bike, 18 months old, weekend booking:

Base price: n10
CC Factor: 1.40
Age Factor: 0.90
Weekend Multiplier: 2.00
Demand: 2.00
Seasonal: 2.00

Final Price = 10 × 1.40 × 0.90 × 2 × 2 × 2 = n201.6 → Rounded to n202/hour

11. Example Refund Calculation

Customer cancels 7 days before ride:

Refund = 50% of booking amount.
